Terms & Conditions

These Terms and Conditions (“Terms”) govern all travel services arranged and provided by Jatravi (“the Company”, “we”, “us”). By booking a trip, tour, or any related travel service with us, the traveler (“you”, “the client”) acknowledges that they have read, understood, and agree to be legally bound by these Terms.

1. Booking & Payment

A booking is considered confirmed once a deposit or full payment has been received. Prices are listed in USD unless otherwise stated. The remaining balance must be paid in full prior to the start of the tour, unless a separate written agreement has been made.

We accept major credit cards, PayPal, and international bank transfers. Bank transfer fees and currency conversion fees are the responsibility of the client.

2. Client Information Requirements

To arrange travel services, we may require accurate personal information including full name, passport details, date of birth, accommodation preferences, emergency contact, and other travel-related data. All information must be accurate as per the traveler’s passport.

Failure to provide accurate information may impact travel arrangements. Any additional costs arising from incorrect or incomplete information will be the traveler’s responsibility.

3. Changes & Modifications

After the booking is confirmed, itinerary changes requested by the client will be handled on a best-effort basis and may be subject to additional fees depending on supplier policies.

We reserve the right to modify itinerary components (e.g., accommodation, transportation, scheduling) for operational or safety reasons. Where possible, equivalent alternatives will be offered.

4. Cancellation & Refund Policy

All cancellations must be submitted in writing via email. Refund eligibility is based on the timing of cancellation and the policies of hotels, transport providers, and other third-party suppliers involved in the tour.

  • Cancellations made 30 days or more prior to the tour start date may be eligible for a partial refund, minus supplier fees.
  • Cancellations made within 30 days may be subject to higher penalties or may be non-refundable depending on supplier rules.
  • Certain services such as train tickets, attraction tickets, and hotel reservations may be strictly non-refundable once issued.

No-shows are non-refundable. Refund processing times may vary depending on supplier response times.

5. Force Majeure

We are not liable for failure to perform resulting from events beyond our reasonable control including but not limited to natural disasters, pandemics, government regulations, strikes, war, or extreme weather. In such cases, refunds or credits will depend on third-party supplier policies.

6. Travel Insurance

We strongly recommend that all travelers obtain comprehensive travel insurance covering medical expenses, emergency evacuation, trip cancellation, lost luggage, personal liability, and other unforeseen events. The traveler is solely responsible for verifying coverage conditions.

7. Passport, Visa & Entry Requirements

Travelers are responsible for ensuring they meet all passport, visa, and immigration requirements for entry into Japan and any other destinations included in the itinerary. Passports must be valid for at least six (6) months beyond the travel end date.

We are not liable for costs or cancellations resulting from failure to obtain necessary travel documents.

8. Health, Medical & Participation Requirements

Travelers must disclose relevant medical conditions that may affect participation. Certain activities (e.g., hiking, winter sports, onsen, or cultural experiences) may require adequate physical fitness.

We are not medical professionals and cannot provide medical advice. Travelers are responsible for determining whether their health conditions permit participation.

9. Limitation of Liability

The Company arranges travel services with independent third-party suppliers such as hotels, transportation providers, guides, and attractions. We are not responsible for the acts, omissions, or negligence of these suppliers.

The Company shall not be liable for any injury, loss, damage, delay, accident, or other irregularity caused by third parties or events beyond our control.

10. Accommodation & Transportation

Accommodation types may vary depending on destination and availability, including Western-style hotels and Japanese-style ryokan. Non-smoking rooms are not guaranteed in all properties unless confirmed in writing.

Transportation services may include trains, private vehicles, taxis, ferries, or domestic flights depending on the itinerary.

11. Local Customs & Conduct

Japan has unique cultural norms including onsen etiquette, dining customs, and public behavior guidelines. Travelers are expected to follow local laws and respect cultural practices.

12. Governing Law & Jurisdiction

These Terms and any disputes arising from them are governed by the laws of Japan. Any legal actions shall be submitted to the jurisdiction of the courts of Japan unless mutually agreed otherwise.
